Residence Life Handbook

Welcome to the Arizona Western College residence halls!

Each resident at Arizona Western College has an opportunity to contribute to the residence hall community and to the College as a whole. As you live, work, study, and socialize, we hope that you will learn to appreciate other people for their unique qualities and abilities.

In addition to the following information, you should become familiar with the information included in the Arizona Western College Behavioral Code of Conduct for which all AWC/NAU students are held accountable. It not only defines campus expectations regarding student behavior, but also summarizes student rights regarding their relationship to the College.

Moving Out?

When you move out of the residence halls at any time during the year or at the end of either the fall or spring semester, you should be aware of
the following checkout procedures:

1. Inform the Hall Director and Resident Assistant that you plan to move out.

2. Be sure that your room is clean to avoid cleaning charges.

3. Schedule an appointment with hall staff to ensure that all check out requirements are met. This will ensure that you are not responsible for any room and board charges past the date that you move out. *NOTE: Room & Board charges are calculated on a weekly basis. Partial week calculations for refunds are NOT available. If you don't checkout, your room and board charges will continue until such time that the checkout procedures are completed. Failure to checkout will result in forfeiture of your deposit.

4. Turn in your room/building key to the Hall Director. A $30 charge for each key will be posted to your account if you fail to turn in your room or mailbox key.

Your $100 Deposit

If you do not plan to return to the Residence Halls, your $100 deposit will be mailed to you by the AWC Business Office after your student account has been cleared. Please remember that any outstanding damage/cleaning charges or other institutional changes may be charged to your deposit.

Visitation: Visitation hours and guidelines are posted in the residence halls and are subject to change. Hosts are responsible for the behavior of their guests. We appreciate your assistance in maintaining an environment conducive to living and learning by ensuring that your guests demonstrate appropriate behavior.

Fire Safety: The following are prohibited in residence halls: halogen lamps; overloaded, damaged or non-UL approved electrical cords, unsafe placement of cords or improper use of electrical items; obstruction of sprinklers; obstruction of room door or windows; ceiling hangings or other decorations which are flammable or otherwise could contribute to fire spread; use of any flame device (candles, etc.), open coil appliance or burning incense; possession/use of fireworks or other explosive; possession/storage of gasoline or other fuels/flammable chemicals; damaging or tampering with fire safety equipment (smoke detectors, extinguishers, etc); dismantling or otherwise interfering with exit signs; propping open or otherwise interfering with the intended smoke-barrier purpose of fire doors; blocking hallways or building exits; failure to evacuate according to designated procedures during a building alarm
and/or failure to follow instructions of College or fire safety personnel;
false report of fire or other dangerous conditions (bomb threats, etc.); activating false alarms.

Campus Safety and Awareness: The Campus Awareness and Campus Security Act of 1991 (Clery Act) requires the college to report on the occurrence of specific criminal offenses that happen on-campus,
in the residence halls, on campus affiliated property and on public
property sharing contiguous boundaries with campus property.
The AWC Police Department gathers, compiles and reports this data to
the college community annually. You may view this information at
/police/clery. obtained from the AWC Campus Police Department.

General Procedures for Reporting a Crime or Emergency: To report a crime, an emergency, non-emergency security, or public safety related matter on the AWC campus or other campus center, call Campus Police at extension 49500 or, from outside the College phone system, (928) 344-5555. Campus Police incident reports involving students are forwarded to the offices of the Director of Campus Life and the Vice President for Student Services for review and potential student disciplinary action.

Sexual Assault: If a sexual assault or rape should occur, staff on the scene, including Campus Police, will offer the victim a wide variety of services. AWC has trained staff members who are available to assist a victim 24 hours a day. On-campus counseling services and referral to off-campus resources are available to victims of sexual assault. Additionally, victims of a sexual assault may be moved to another room or Residence Hall if requested and the move can be accommodated.

Sexual assault (including rape, acquaintance rape, and other forcible and non-forcible sex offenses) is prohibited in the AWC and NAU student Codes of Conduct and may result in disciplinary sanctions including probation, suspension, or expulsion. The report to the Campus Police or other campus security authority may initiate campus judicial processes as a result of the assault. In cases of alleged sexual assault, both the accuser and the accused are entitled to the same opportunities to have other persons present during disciplinary proceedings (see AWC Student Code of Conduct). Both the accuser and the accused shall be informed of the outcome of any institutional disciplinary proceeding brought alleging a sexual offense to include the final determination and any sanction against the accused.

Keys and Personal Safety: Residents are responsible for the security of their rooms and are encouraged to keep doors locked at all times. Duplication and lending out of room or entrance keys is not allowed.

Contact a staff member if your key is lost or stolen. Charges will be
assessed for lock changes and key replacement.

In order to increase your community's safety, please do not prop entry doors. Report suspicious behavior to any staff member.

Campus Police and AWC Residence Life department conduct campus programs for students and employees about campus safety and security procedures
and practices and well as a wide variety of crime prevention strategies.
We encourage you to participate in these programs as you play a vital role in ensuring the safety of your self, your property, and your community.

Personal Property: AWC does not carry liability insurance for the personal property of residents living in the residence halls. While the College does not endorse any specific provider, we encourage all residents to review their (or their parent's) insurance policy or acquire a plan appropriate to their specific needs.

Computer/Data port: Each room is equipped with two data lines to provide residents with direct access to the College's computer system at no cost. Access to E-mail is available through the AWC Computer Lab located in the Academic Complex Building. Specifications regarding the AWC system are included on the technology information sheet distributed by personnel at the computer lab. Please note that residents are responsible for furnishing their own personal computers.

Laundry Facilities: Each residence hall provides washers and dryers at the end of each wing for resident use. These are available at no cost. It is strongly recommended that residents remain with their laundry at all times to decrease the chances of theft.

Telephone Service: One individual phone line is provided in each room. Residents are responsible for providing their own analog phone. The College will provide service for local calls and residents will be responsible for long distance calls.

Under no circumstance is a resident to use any method available to bill long distance calls directly to the room or College. Residents will be held responsible for any long distance charges incurred on their behalf and may be subject to additional disciplinary action. This includes, but is not limited to, operator assisted calls, unauthorized use of toll free lines for personal business, and acceptance of collect calls.

Cleanliness/Room Checks:

According to the Conditions of Residence outlined in the Arizona Western College Residence Hall Application/Agreement:

7. b) The College reserves the right to take inventory and inspect rooms at reasonable, announced times.

The Department of Campus Life conducts room checks on a regularly scheduled basis to ensure that safety and health standards are being maintained by residents for the benefit of the entire community. You will
find the scheduled times available at your residence hall front desk.

Things we check for include, but are not limited to:

•smoke detector is intact and functioning properly.

floor is clean and free of food, sticky substances, or any other items that may attract bugs or rodents.

•visible damages such as holes in the wall, broken locks…

•sink and bathroom areas for plumbing leaks, mold issues or anything
else that may contribute to sanitation concerns.

•refrigerator for mold or other sanitation issues that may attract bugs
or rodents.

•excessive debris that may contribute to safety/fire hazards.

While the primary purpose of room checks is to ensure that the facilities are maintained in a manner that promotes a safe living and learning environment, any violations of the AWC Behavioral Code of Conduct or Residence Life Handbook will be noted accordingly and may be subject to disciplinary action.

If you are in need of a copy of either manual, please visit the Department of Campus Life located in the 3C Building. If you have any questions or concerns regarding this information, contact any hall staff member or the Associate Dean of Campus Life.

Cooking/Appliances: A small refrigerator is provided in each room. Residents may not bring their own refrigerator. Residents may bring and use microwaves (maximum 600 watts), hot pots, coffee makers and hot air popcorn poppers. Appliances having a visible heating element or which use hot oil are not allowed.

Damages: Residents will be held financially responsible for any damages to or loss of property attributable to their individual behavior or participation in group activities. Damage charges are added to the resident's College account. You will be notified in writing of all assessments.

Overnight Guests: Residents are responsible for the behavior of their guests and for informing visitors of College policies. Overnight guests must be 18 years of age, the same sex and registered in the guest registration book at the front desk. Any resident who has an overnight guest will be charged according to the current fee schedule. Each resident is allowed a maximum of one guest per semester for a maximum of two days. All fees must be paid to the Business Office prior to the guest spending the night. The receipt for payment must be filed with the guest register at the front desk.

Health Services: You can visit the College's registered nurse for
health evaluations, first aid, vision/hearing exams or immunizations.
Health Services also provides information for family planning, pregnancy and other health related issues. Students are encouraged to carry personal medical insurance, as AWC does not provide any plans. The Health Services Office is located in the Music Building, Room #4.

Mail: Post Office boxes, located in the College Union Game Room, will be issued to each residence hall student by the Department of Campus Life. Lock combinations will be provided upon completing the check in process. These boxes are available free of charge. Please remember to submit a change of address card when you leave AWC so that your mail can
be forwarded.

Parking Permits: Parking facilities for residents are provided in the lots adjacent to each residence hall. This includes designated parking for motorcycles. All vehicles must display a current AWC parking permit. Parking permits for residential lots are available to currently assigned residence hall students at the Campus Police station AT NO CHARGE.
Fees may be assessed for replacement permits according to the current
fee schedule.

Student Identification Cards: All individuals residing in a residence hall MUST have a student identification (ID) card. Your meal ticket will usually be affixed to the front of your ID card. Student ID cards are good for as long as you are a student. The first ID is issued at no cost. Charges will be assessed for replacements.

Dining Services

The Eatery is located on the lower level of the College Community Center.

Meal plans are required as a part of the residential agreement. Students must present their student id at every meal or they will not be allowed to eat. Any attempt to use someone else's student id may result in disciplinary action to all parties involved.

Sick trays are available for students in the Residence Halls who are ill.
A sick tray form must be signed by a Hall Director in order for food service to authorize a sick tray.

Taking food, dishes, or silverware from dining areas is regarded as theft. Individuals guilty of taking these items may be subject to disciplinary action.

Report all lost or stolen ID's/meal tickets to the Department of Campus Life immediately. Temporary meal tickets are available at no charge. However, replacement charges will be assessed according to the current fee schedule.

Pets: Pets, including fish, are not permitted in the residence halls.
Seeing eye dogs and other assistance animals are allowed.

Decorating: decorations, including pictures ad posters, are not to be hung with glue, scotch tape or anything else that will deface the walls or woodwork. Tacks, straight pins or small nails are permissible. Any picture, poster or other room decoration should be in good taste and not of a nature that may offend roommates, other members of the College community, visitors or family members. You may be asked to remove any items that may be offensive.

College Property: Any unauthorized College property that is found in residence hall rooms will be removed. Fees may be assessed to the student responsible or all students assigned to the room according to the current
fee schedule.

Quiet Hours: “Courtesy Hours” are always in effect and residents are to respect requests of others for quiet. “Quiet Hours”, at which time residents should be especially aware of the volume and impact of their noise, are observed between 8:00p.m.–10:00a.m. or 24 hours in wings designated
24-hour quiet.

24 Hour Quiet Wing: Designated 24 hour quiet wings have been created to meet the needs of students who prefer a quieter atmosphere. We ask that those students who feel they can live and cooperate with stricter guidelines request to be assigned here. During this time, stereos, radios, televisions, computer games, musical instruments, and conversations must be kept at levels that will not interfere with the study or sleep of other residents.

Offense

Use or possession of cannabis, derivatives of cannabis or paraphernalia, narcotics, hallucinogens, concentrated cannabis or other controlled substances (i.e. steroids) (on campus)

Manufacture, distribution or intent to sell cannabis or its derivatives, narcotics, hallucinogens or controlled substances

Use or possession, distribution or intent to sell, or being under the influence of alcohol

1st Offense

Probationary Period; Parental Notification; Substance Education Program; Referral with Compliance; Appropriate Termination of Participation (housing, class, activities…); or Suspension

Violations occurring on College property will result in termination of housing contract/agreement.

Expulsion* from College

Probationary Period; Parental Notification; Alcohol Assessment/Referral with Compliance; Alcohol 101 Appropriate Termination of Participation (housing, class, activities…)

2nd Offense

Suspension* from College

The above sanctions are guidelines. Sanctions may be modified based on the severity of the incident, the impact upon the community,
and the student's judicial history.

Alcohol & Other Drugs: See Chart for Sanctioning Guidelines

Statement of Policy: III. Prohibited Conduct, Sanctions and Stipulations (AWC Behavioral Code of Conduct: Policies and Procedure; page 4.)

2. Alcohol, Drugs and Drug Paraphernalia: An individual shall not possess, sell, offer to sell, purchase, offer to purchase, use or transfer illegal drugs, drug paraphernalia or alcohol; or be under the influence of alcohol, drugs or medication (except as prescribed by a physician and used in accordance with the prescription).

Note: The term “drugs” includes any narcotic, dangerous drug, steroid, vapor releasing toxic substance, marijuana, controlled substance (imitation or otherwise) as defined by law. The term “medication” means any substance that is available legally by prescription only.

* Suspension and Expulsion: An order for the student's removal from College property, a cessation of all academic work, and a prohibition from being on College property or attending College-sponsored activities or functions for a specified period of time, usually ranging from no less than the remainder of the current semester up to a maximum of two years in length. However, in unusually serious cases, a student may be placed under suspension permanently i.e. expulsion. Following completion of the period of suspension, a student can reapply for admission to the College and may be conditionally readmitted.

** Incidents involving AWC Police will be cited accordingly and referred to appropriate authorities.

Note: It is the responsibility of a suspended residence hall student to secure alternate living accommodations and/or travel arrangements after a sanction of suspension is imposed. (AWC Behavioral Code of Conduct: Policies and Procedure; page 8.)

Smoking: Smoking is not allowed in residence hall rooms or in the lounges, laundry rooms or other common areas.
